Lodging Information
TEXCON does not provide lodging arrangements for attendees. However, we recommend booking accommodations in Georgetown, Texas, the nearest town to the event venue. Georgetown offers a wide range of hotels, motels, and short‑term rentals to suit different preferences and budgets, all within a short drive of the conference site. Why Georgetown? - Proximity – Just minutes from the venue, reducing travel time and making it easy to attend early sessions or evening networking events. - Variety of Options – From nationally recognized hotel chains to charming boutique inns and bed‑and‑breakfasts. - Amenities – Many properties offer free parking, complimentary breakfast, and business‑friendly features like Wi‑Fi and meeting spaces. - Dining & Entertainment – Georgetown’s historic downtown offers restaurants, coffee shops, and evening activities perfect for unwinding after the day’s sessions. Booking Tips - Reserve early to secure the best rates and availability, especially if you plan to arrive the night before Day 1. - Consider staying within walking distance of Georgetown’s downtown square for easy access to dining and entertainment.
Exhibitor Staffing Policy
To ensure a professional and consistent experience for all attendees, TEXCON has established the following guidelines for staffing exhibitor spaces: Staffing Requirements: Exhibitor spaces must be staffed during all published exhibit hall hours. Exhibitors are responsible for ensuring their booth is attended and operational at all times. Staffing Levels: The number of exhibitor staff badges allocated is determined by the exhibitor’s sponsorship level. Additional staff beyond the allotted number may be subject to approval and additional fees. Access to Panels & Presentations: Exhibitor staff are not permitted to attend panels, presentations, or training sessions on Day 1 of TEXCON without express permission from TEXCON personnel. This ensures priority seating and participation for registered conference attendees. Identification: All exhibitor staff must wear their official TEXCON-issued badges at all times while in event spaces. Exhibitor Staff Code of Conduct: All exhibitor staff are expected to act responsibly, maintain a professional demeanor, and adhere to business casual attire for the duration of the event. These policies are designed to maintain fairness, protect the value of sponsorships, and ensure that all participants have the best possible experience.
Suitcasing Policy
To protect the investment of our exhibitors, sponsors, and partners, TEXCON strictly prohibits “suitcasing”, the practice of soliciting business in the exhibit hall, meeting areas, or any event-related space by non-exhibiting companies or individuals. Suitcasing includes, but is not limited to: - Distributing sales materials, product samples, or promotional items without being a contracted exhibitor or sponsor - Conducting meetings, product demonstrations, or sales pitches in public areas, lobbies, or on the exhibit floor without authorization - Soliciting attendees or exhibitors for business purposes outside of an official exhibit booth or sponsored space Enforcement - TEXCON staff will monitor all event areas for violations. - Individuals or companies found suitcasing may be asked to leave the event immediately without refund. TEXCON reserves the right to deny future participation to any person or organization violating this policy. This policy ensures a fair, professional, and respectful environment where all participants can benefit from their investment in TEXCON. It protects the value of official exhibit and sponsorship opportunities and maintains the integrity of the event.
Shipping & Delivery Policy
To ensure smooth and secure handling of all exhibitor and sponsor materials, TEXCON has established the following guidelines for shipments to and from the event: Shipping address: Texas Department of Public Safety Attn: TEXCON 810 County Road 240 Florence, Texas 76527 Pre‑Delivery Notification - All shipments must be coordinated in advance. - Send an email to Jason.Day@droneresponders.org or Aaron.Fritch@texgru.com with all relevant shipment details at least 48 hours prior to delivery. - Include: Company name, Contact person and phone number, Carrier and tracking information, Estimated delivery date and time, Description of items being shipped Freight Shipments - Freight deliveries are possible; however, due to limited indoor storage, all freight will be stored in a covered outdoor area. - Please ensure packaging is weather‑resistant and secure. Return Shipping - Return shipping arrangements must be clearly communicated to TEXCON staff in advance. - All pick‑ups must be scheduled during normal working hours: Monday–Friday, 7:00 AM – 5:00 PM CST - All exhibitor material and equipment will be picked up and return shipped no later than December 12, 2025. - No deliveries or pick‑ups will be accepted on weekends. Responsibility - DRONERESPONDERS, TEXGRU, AIRT & Texas DPS are not responsible for loss or damage to items during shipping, storage, or return transit. - Exhibitors are encouraged to insure all shipments.
Setup, Breakdown & Hours of Operation
Setup Times - Monday, December 1 – 12:00 PM to 5:00 PM - Tuesday, December 2 – 6:00 AM to 8:00 AM All exhibitor staff must check in at the registration desk prior to beginning setup. Exhibit Hall Hours - Tuesday, December 2 – 8:00 AM to 4:30 PM Booth Assignments - Booth assignments will be distributed one week prior to TEXCON. - Placement will be determined based on sponsorship level. Breakdown & Move‑Out - All exhibitor spaces must be fully broken down and cleared no later than 5:30 PM on Tuesday, December 2. - Exhibitors are responsible for removing all materials, equipment, and trash from their assigned space by this deadline. - Early breakdown prior to the official close of the exhibit hall is not permitted, as it disrupts the attendee experience and poses safety risks. These timelines are designed to ensure a smooth setup process, maintain a professional exhibit environment, and allow exhibitors to maximize engagement with attendees during official hours.
Food, Beverage & Alcohol Policy
TEXCON welcomes the inclusion of food and non‑alcoholic beverages within exhibitor spaces, provided it is done responsibly and in a manner that maintains the professional environment of the event. Food trucks will be onsite for the duration of the event and the purchase of lunch for all attendees and exhibitors is available. Guidelines - Permitted: Food and non‑alcoholic beverages may be served or consumed at exhibitor booths, provided they do not create excessive noise, odors, or mess, and do not interfere with neighboring exhibitors or attendee traffic flow. - Alcohol Consumption: The consumption of alcohol is strictly prohibited at all TEXCON events, including the exhibit hall, meeting rooms, and all associated spaces. - Alcohol as Prizes: Unopened bottles of alcohol may be offered as part of a raffle, giveaway, or prize, provided they remain sealed at all times and are taken off‑site by the recipient. - Compliance: Exhibitors are responsible for ensuring all food and beverage activities comply with venue regulations and applicable health and safety requirements. This policy is designed to maintain a safe, respectful, and professional atmosphere for all attendees while allowing exhibitors flexibility in engaging with visitors
Logistics & Rental Equipment
To ensure a smooth and consistent experience for all exhibitors, please review the following logistical details for TEXCON: Guest Wi‑Fi: Complimentary guest Wi‑Fi will be available. Login instructions will be provided at each exhibitor space. Included Furnishings: Each exhibitor space includes one (1) table and two (2) chairs, unless other arrangements have been made in advance. TV Rentals: TVs for display presentations (42–50 inch) are available for rent at a cost of $600. Rentals must be arranged at least one (1) week prior to the event. Email jason.day@droneresponders.org to make arrangements. TVs will NOT be available for rent the day of the event. Booth Size & Setup: Booth setups must remain within the space provided and may not exceed the dimensions allocated based on the sponsorship level purchased. Liability: DRONERESPONDERS, TEXGRU, AIRT, and Texas DPS are not liable for any damage to exhibitor equipment during the event. Exhibitors are encouraged to secure appropriate insurance coverage. Power Access: Indoor Spaces – Extension cords or outlets will be provided. Outdoor Spaces – No power will be available; exhibitors should plan accordingly.
Photography & Media Policy
TEXCON encourages the sharing of event experiences while maintaining respect for participants, brand integrity, and professional standards. Social Media & Event Tagging - Attendees, exhibitors, and media are encouraged to share photos and videos from TEXCON on social media. - All posts should include the official event hashtags: #DRONERESPONDERS and #TEXCON. Photography & Video of Personnel - Any photo or video that includes personnel in uniform must have the express permission of that individual before posting or distributing. Use of Logos & Branding - The DRONERESPONDERS, TEXGRU, and AIRT logos may be used in event-related materials, but they are trademarked and must not be altered or modified in any way. - Logos may only be used in a manner that accurately represents the organizations and the event. Endorsement Disclaimer - DRONERESPONDERS, TEXGRU, and AIRT do not officially endorse any products, services, or vendors. - Any language, imagery, or implication suggesting endorsement is strictly prohibited.
Lead Retrieval Policy
TEXCON provides lead retrieval opportunities to help exhibitors connect with attendees and maximize their return on investment. Access to lead retrieval tools and attendee contact information is determined by the exhibitor’s sponsorship level. Guidelines - Sponsorship Level Access: The type and scope of lead retrieval services (e.g., badge scanning, digital attendee lists, or post‑event reports) will vary based on the sponsorship package purchased. - Usage: Lead retrieval tools are to be used solely for legitimate business follow‑up with attendees who have opted to share their information. - Data Privacy: All exhibitors must comply with applicable privacy laws and TEXCON’s data protection standards when storing or using attendee information. - Non‑Transferable: Lead retrieval access is for the contracted exhibitor only and may not be shared, sold, or transferred to other companies or individuals.
